September 25, 2008 Meeting Minutes
CALL TO ORDER: distributed to attendees: sign in sheet, agenda, August Profit and Loss, minutes from August 2008
PRESIDENTS’ REPORT: Saturday’s contest at Campbell County was wonderful. Kentucky Governor’s Cup was won and is on display in the band room. Kim Slade stated that separate meetings have been held with the executive committee in order to work on issues related to the growth of the band. We cannot keep at status quo so, there are questions about how do we financially support the growth. We will need to restructure and grow. One issue is a “money stash” from four years ago. Capital funds were raised for the purchase of new uniforms. The Milford Board of Education stepped up and purchased the uniforms for band. These funds are now placed in a money market account for interest income purposes. Uniforms are expected to last 7 to 8 years. The account is there for the expressed purpose of buying new uniforms.
DIRECTORS’ REPORT: No report.
TREASURER’S REPORT: New trailer expense was $5,890. Lisa Cieslewicz donated $500 from a credit on her account.
COMMITTEE REPORTS:
WAYS AND MEANS: Kim Haas- Pretzel sale realized a 45% profit for a net profit of $4,700. Of the profits, $2,000 went to fairshare and the rest will go toward the new band trailer.
We also had the Max and Erma’s fund raiser that raised $160. This was not a great turn out.
Fairshare – questions have been raised about the Fairshare system and the ramifications with IRS. We are working with a non profit attorney and we need to find a non profit accountant. We must get questions answered before the fruit sale.
New fundraising opportunity: Good Search is an Internet search engine powered by Yahoo. For every search designating to Milford Band we will earn .01. Kim will have Rocky put on the band website. Lakota West has raised approximately $800 with this.
Avon Fund Raiser- link is on our website. Sales will realize a 15% profit. This is a passive fundraiser year round. Fruit sale is coming up and we will push back the date.
Copy machine is being removed from band library room. Copiers are being removed from many locations. The school board needs to cut $25,000 from the budget. The issue of the ice machine was raised. Has it been repaired? Do we need to replace it? This is the athletic equipment and we have a responsibility to help maintain this ice machine as we use it quite a bit.
Kim also has script orders, Panera and Kroger cards.
DELEGATE AT LARGE: Raylene Gerber- There is a school levy on the ballot for Milford Schools and Great Oaks. Milford is looking for volunteers and donations. She also stated that there might be P.E. credit given for marching band participation.
CHAPERONES: Theresa Wandstrat- Everything is set for Massillon.
Theresa also asked for additional help chaperoning at local contests.
EQUIPMENT: Tony Brewer- The new trailer is working well and the trailer has been outfitted. Thank you for your help at Campbell County. They are tweaking the spheres by using 100% helium for a quicker lift off.
Bob Slade stated that the logos and lettering for the new trailer, both sides, is $550. The hitch, weight control and sway bar was purchased for $700 but returned and not reflected on the P & L. Bob asked for approval to move forward with the lettering and logo. Booster approval was given.
It was addressed that the Sponsors from previous year need to be contacted again for their donation to keep their name on the trailer and website. A volunteer was asked to coordinate and it is estimated to take about 6 hours of their time. Kristie Yankovsky volunteered.
DRUMLINE: Ann Shook- New students are learning their parts. March 21st is the date of the Winter Drumline and Guard show. She anticipates a large turnout with up to 70 groups. Check in will begin at 8:00 a.m.
GUARD: Connie Duguid- The new opener flag needs to be made but, they do not have the pattern yet.
MEMBERSHIP: Julia Foster- Band member buttons are completed and that includes the guard. Choral Boosters have asked to use the button machine for their group.
UNIFORMS: Kathy Christopher- No report
BOA: Tim Gerber- Plans are ready for Massillon trip. Help has volunteered to serve pizza at 3:15. If we do not make finals, students will be served a snack.
HOSPITALITY- Ang Kovatch- Great job at the games. Ang is supplying the contest meals. The script program is being utilized to purchase the band food.
PUBLICITY: Gary Presley- Milford Journal had photo of the Governor’s trophy. Athletic boosters have opened up an opportunity to be in their booklet sold at football games. They are sold for $3.
OLD BUSINESS;
We revisited the ice machine situation.
NEW BUSINESS;
Theresa Wandstrat stated that a written note is required to be given to her for student early departure with parent. The parent must come and see Theresa before departure.
October 4th- Saturday practice only for drumline and guard. The rest of band has been cancelled.
Senior night is October 17th. Senior parents walk with their student. Pit and chaperones will need to be free to participate.
