Milford Band Booster Minutes

CALL TO ORDER: Sign in sheet.
Special speaker: William Knepp, Miami Glen, President and co-founder (1995), and four officers present. Mr. Knepp explained that Miami Glen is a 501C-3, non-profit organization with no political ties to a particular thought or ideal. They have only one mission – the presentation of the performing arts. He explained that Miami Glen has a string band, brass band, parlor quartet, swing band, jazz band, a country & western band, and “we’re hoping tonight to adopt a marching band”. Mr. Knepp went on to say that one of their philosophies is “It’s not about winning, it’s about not quitting”. He said that Miami Glen members recognize it’s a tough task to come up with the $250/child. So, two of their officers came forward to give present two $250 scholarships to Patti. These new “Cadence Scholarships” are to be given by the Boosters to two families who have demonstrated financial need. Mr. Knepp continued in his presentation in describing two upcoming dances (one in October and one in April) and requesting the assistance of the band members in selling dance tickets. After expenses for the evenings are paid, half of the proceeds would be given to MBB IF we agree to help sell tickets. Mr. Knepp closed his presentation with a promise that Miami Glen will continue to investigate ways to partner with MBB.

TREASURER’S REPORT: Brenda Bayne reported on several items including equipment repairs made and miscellaneous purchases. Additionally, she reported on recent fund raising activities: $3900 business donations, $992 Jazz night in Old Milford, 57 yard signs sold – still need to sell roughly 20 more to begin seeing a profit on that fund raiser. Food for Band Camp came under budget. Contest entry fees for West Clermont and Colerain paid. $2250 paid for guard uniforms – a cost paid through the Board of Education in past years. Report was approved with no revisions.
PRESIDENT’S REPORT: Patti – Recognizes the many faces in the room that helped Band Camp in cooking, chaperoning, equipment moving, etc. Thank you very much. Thanks, too, for helping with “Clean the Shed and Uniform Room Day”. Special thanks to Paul Slupski for a great design on the Show Shirts! Great fun at the Parents Night – thanks to those who organized and worked setup. Great show from the Band and Guard!
DIRECTOR’S REPORTS: Mrs. Towner joined us and thanked the Miami Glen folks for coming and offering their support. She also wants to thank the parents who work that well oiled machine called “Band Camp”. In her words “Your support is truly amazing”.
COMMITTEE REPORTS:
Ways & Means – The Sanchez family had organized the Jazz event in downtown Milford – very successful – just under $1000 made in this event. Walk-a-thon donations of $400 to pass out water in Morrow, Ohio. Susan Sferra reports $6250 raised by business donations so far. Special thanks to the Lykins family for the recent $2500 donation. New graphics on the website to thank those businesses who donated and to provide a link from our website to their respective businesses. If you know of a company (outside the Milford area) let us know and we’ll send them a letter. $335 donations from alumni mailing (a difficult task since many of the addresses for alumni are outdated. Fruit Sale will be from November 13 through November 27 with the delivery date of December 9th. Starting early that morning, we will need to unload the trailers and distribute the fruit; so many volunteers will be needed on Saturday, December 9th.
Grant applications – Lisa Cieslewicz reported nothing new at this point. This is a long term process and she indicated Mr. Brown has been “hard to catch” lately.
SCRIP, Kroger’s, Meijers, Dominos, Panera – Joe Haas reported $1900 made in 3 car washes and encourages families to pick up their towels that have remained unclaimed. Two shipments of used ink jet cartridges have raised $187 total. Remember you can drop your used cartridges off in any of the Milford school offices. Buddy cards $1800 – Panera strips, Dominos still left. Show shirt orders due September 10 – no exception.
Delegate at Large: Theresa Essex – no report.
Chaperones: Teresa Wandstrat reported her thanks for everyone’s help during camp, at the swim party, and our first Senior Party of the year. She wants all chaperones to provide their cell phone numbers to her in order to create a master list. Patti indicates that she and Steve need to have a chaperone meeting prior to 1st contest to be scheduled. Also, any chaperones going to Youngstown and/or Indianapolis need to have travel fees paid to Brenda Bayne at least two weeks prior to leaving for the contests.
Equipment: Bob Slade reported he has approximately 28 – 31 volunteers so far. He reported that we had a great time at the football game Friday night – a few bumps – but everything worked out. Pit shirts are being ordered now. Trailer mock up load day on Saturday, September 9th at 9:00 am. At that time, we will also be working on any equipment repairs needed. Signage for the trailer being worked up based upon the company’s graphics.
Drumline: Cathy Evans – Miami in the Meadows Recap – To all who volunteered to direct parking at the Midsummer in the Meadows event – a big THANK YOU! Things got a little crazy Saturday night. Some of you were there 6-10 hours over the Friday and Saturday times. Thanks to all those parents and siblings who pitched in. We parked over 2800 cars over 2 days (640 were on Friday night), ending at 10:45 pm Saturday night. Thanks to all those who stayed late. The Guard and Drumline earned $3300 (less expenses for food). We have been invited back by the Township to work it again next year! Steamin’ Joes at the park proceeds was not so good, but should be better next year with a better location. In addition, Biz and Steve Goldman have graciously come forward to let us use their coffee and drink booth for fund raising at home games.
Guard: Amy Bain – no report, but she and her merry band of sewers were in the Commons area working while we were meeting.
Membership: Julia Foster has buttons to give away, but she still needs to get the Guard pictures – she can’t make buttons without pictures. Drew’s help is needed to coordinate this effort.
Senior Committee: Ramona Fisch reported the Senior Band Camp dinner a great success and lots of fun. Special thanks to those who helped with that. Senior overnight was also fun – the kids had a great time. Minimal sleep available, but it’s only one night. The first post-football game party was held at the Fisch home and she reported the kids were very well behaved. All of the senior parties are now taken care of and will be released to the kids immediately before the home game selected.
BOA: Tim Gerber distributed tentative itineraries for both the Youngstown and Indy trips:
Youngstown, September 30
· Four 47-passenger Croswell Motor Coaches leaving MHS 5:00 am
· A light breakfast will be provided to eat on the way
· Arriving Youngstown State University about 10:30 am
· Buffet style brunch in the YSU cafeteria
· First performance will be in Block #3 between 1:30 pm and 2:00 pm
· Buffet style dinner in the same cafeteria
· Earliest possible departure from YSU will be 7:30 pm. This would put us back to MHS about 1:00 am … could be later.
Indianapolis, November 9 – 11
· Four 47-passenger Croswell Motor Coaches
· Morning practice
· Lunch and change into uniforms for Post Road McDonald’s, Indianapolis
· First performance time is 3:45 pm on November 9 in the RCA Dome
· Thursday dinner to be determined
· Holiday Inn Select North, Indianapolis for 2 nights
· Buffet breakfast in hotel Friday am
· Caribbean Cover Indoor Water Park during the day Friday. Wristbands for admission are included with room rate. Students on their own for lunch with plenty of on-site options.
· 5:30 pm Dinner at the Hard Rock Café in downtown Indy
· 8:45 pm Awards Ceremony RCA Dome … announcement of semifinalist bands
· Saturday schedule will depend upon if we make semifinals or not
· We will not be staying for finals (as spectators).
Tim reported that a small block of rooms have been set aside for parents.
Hospitality/Refreshments: Robyn Carroll and Cindy Bachman wanted to thank everyone who provided dinners for the directors and Gatorade for the kids. Cindy reported cookies and lemonade went over really well at the Turpin game and they served roughly 290 kids. We’ll need more cookies for September 8, so look for emails to come. Packaged cookies are great because we can save and store as needed. We want to continue the tradition of treat bags for BOA. Goody donations are wonderful! 160 items are needed for donated items.
Meals for competition – Jackie Tompkins reported that she put out an email calling for volunteers that are needed to serve at the competitions. More than likely all three meals for our local competitions will be served here. Details to be worked out as we get closer to the competitions.
Publicity: Sue Thiele reported that the Milford Advertiser was invited and came to Band Camp and printed an article on August 16th. Additionally, there was a great article in Enquirer just last Friday, which started out with quote from Mr. Brown “Gush and Go”.
Old Business/Unfinished Business: For the scholarships tonight, we do have two families that need the $$$ - Patti was approved to give the scholarships to the two needy families.
Discussion of the feasibility of partnering with the Miami Glen - subsequent discussion with Ways & Means and co-Presidents reps to follow.
Tag Day – October 21 tentative – maybe tie it together with the previous proposal of exhibition show? Fund raiser idea – exhibition of the Joyful Noises show – sell tickets $5/each. Must speak with Directors first, so decision can’t be made tonight. Football stadium also needs to be checked for availability.
New Business: Change in drug testing – Your student does have a right to call home, get a parent there to be with the student, to see the bottle labeled correctly, etc. Mr. Tom Willson, Asst Principal, contact at high school. Brief training session for Tall Stacks preceded the Booster meeting. 44 slots filled $1408 anticipated profit.
Joe Haas spoke about the formation of a committee to see what it would take to put on a competition here at Milford. Learn now and try for next year. Email Joe if you’re interested in serving on that committee. Shadowing the Beechwood parents can occur at the Beechwood competition (October) to see if this is something we want to try next year.
Theresa Wandstrat – Bus issue – driver went through the caution tape. With concern for the safety of our students, she wants Boosters to consider how to barricade the practice area of the parking lot during rehearsals.
Meeting was adjourned at 9:00 pm. Next meeting to be held on September 26th.
