Milford Band Booster Minutes

June 29, 2006

 

CALL TO ORDER 7:35 pm – Sign in sheet – May minutes approved.

 

PRESIDENT’S REPORT:  Patti Holshouser & Steve Howes

            Rookie camp July 31 and August 1.  Full band to report on August 2.  Misting fan has been located and Pattie asked Kim Haas  (chaperones) to check with maintenance folks for set up assistance.  Band packets mailed and received by most, earlier than normal – good!

 

TREASURER’S REPORT:  Brenda Bayne reports Marching Band fees are coming in.  Supplies/Miscellaneous entry paid for half of the fees for drum major camp and we paid a deposit of half of the cost of the Miami Hills Swim Club for the Band Swim Party (August 23).

 

DIRECTOR’S REPORT:  Mr. Brown reported sectionals are meeting regularly, conditioning weekly.  The show music has been finished and he was expecting the last bit of the arrangements to be received on July 3.  Everything is moving along well.  Color guard costume prototype viewed by Mr. Brown and he reports they look good.  A leadership seminar will be held on July 26 for section leaders and seniors.

Mrs. Towner emailed Patti about sound equipment repair - $365 needed.  This equipment is used daily with Marching Band and Winter Drumline.  Motion to allocate the money needed was approved.

COMMITTEE REPORTS:

 

Ways & Means – Susan Sferra – Mr. Brown told her that Tall Stacks looking for workers and will pay $8.00/hour for each volunteer.  Funds generated would go towards the $16K needed for BOA trips.  Workers would work on the cruises in 4 hour blocks of time, wearing polo shirt (provided) and khaki pants.  Northern KY bands already signed up.  Patti to learn more, but group in support of effort.

 

Draft of business donation letters circulated at meeting – those businesses that have contributed in the past would get personal follow up.  Steve to create PowerPoint presentation for volunteers to use.  Larger donors to get their names on our trailers for a year.  Kathy Christopher’s employer has a “low tack” sign $18 for 2 x 1   $36 for 2 x 2 cost of material used for ad.  Another option $54 for two 1 x 2 feet vehicle magnets from Sams.

 

Alumni donation letters sent to get alums to support the band program.  Added incentive to create a link on web page with their emails to keep in touch with old friends.  Class challenges to be posted to see how much each class has donated so far.  Also, Rocky willing to set up broadcast email to alumni to keep them updated, too.

 

Yard Signs investigated by Lisa Hilderbrand – cheapest price is coming from Kathy Christopher’s employer – plastic corrugated 2 x 2 printed $5.99/100   $4.79/200.  Add to the cost a metal bracket of $1.00 each.  Recommendation to check with the township about yard sign restrictions.  Suggested sale price might be $10 more than our cost.  Motion to buy 200 approved.

 

Grants – Lisa Cieslewicz and Mr. Brown gather applications for grants – lots of details needed for each application. 

 

Scrip, Krogers, Meijers, Dominos, Panera - Joe and Kim Haas – Car wash on June 24th made a profit of $538.  Two additional washes planned for July 8 and July 22.  Times are 10:00am – 2:00pm at the Mulberry Krogers.  Adult volunteers needed to join the kids.  Towels and soap needed, too.    Recycling toner project anticipated $70 profit.  Board of Education has box for toner collection.  Buddy Cards now available – sell 5 get one free.  Prizes, too, depending on how many you sell – at no cost to us!  If 200 sold, we make $4/card – if every member sells 10, we’ve made $8,000. 

 

Delegate at Large – Teresa Essex – no report

 

Chaperones – Kim Haas and Teresa Wandstrat – Chaperones needed for camp and pool party on August 23.  Schedule passed around at meeting for signup.  Special thanks to Ramona Fisch for putting together template for camp schedule.  Football games and competition sign ups available, too.

 

Equipment – Bob Slade – no report

 

Drumline – Cathy Evans reported the Guard and Drumline are directing cars for parking on July 7 and 8 at “Midsummer in the Meadows” Festival.  Steve and Biz Goldman have been gracious enough to let Drumline parents operate “Steamin’ Joe’s Coffee Cart.” Also, Drumline has been practicing for the past month, so they’ll be ready for Band Camp in August!

 

Guard – Amy Bain reported the group is excited about the new instructors and they’re off to a great start.  They just completed the practice flags and they look sharp!  Amy asked the group to consider volunteering to help with the flags.  We can make the flags for approximately $5.00 each but purchasing them ready-made could cost as much as $75 each.  More volunteers are needed for cutting, pinning, sewing, etc.  Only 2 or 3 Moms can’t do it alone!

 

Membership – Julia Foster reported more folks are joining Boosters and she expects even more membership activity now that the packets are out!

 

Senior Committee – Ramona Fisch – no report

 

BOA – Tim Gerber reports that four buses have been reserved for our Youngstown trip on September 30!  Brunch has been reserved through Youngstown State University Food Service at a cost of $4.25/meal – returning to the cafeteria enjoyed so much in 2004.  Hotel reservations still needed for drivers, dinner location, seating plans for buses, snacks, etc, still to be worked out.  Tim also reported that the four buses have been reserved for Indy, too!  Hotel reservations have been made at the Holiday Inn Pyramid (north side of Indy) for two nights (November 9 and 10).  The hotel has an indoor waterpark and tickets have been obtained for Friday.  Tim’s still waiting to hear about breakfast options at the hotel, but is working towards dinner at the Hard Rock Café on Friday night.

 

Hospitality/Refreshments – Robyn Carroll and Cindy Bachman are coordinating volunteers to provide lunches during band camp for our directors and the clinicians. 

 

Band Camp Food – Peggy Smith and Cathy Howes are planning menus now, but have 200 chicken legs from Sam’s to work with!  They’ll also coordinate the kitchen use with Patty Tanksley.  Patty will be needing help from 2:00 – 7:00 on dinner nights, plus parent night volunteers are needed.  Potluck for parents plus some additional mac & cheese cooked in the kitchen.  Parent Night is August 23!

 

Publicity – Sue Thiele reported a recent article was included in the Milford Advertiser about Senior Night awards.

 

Old Business/Unfinished Business – Thanks to Kathy Christopher for having two banners made for the Frontier Parade.  Our students carried the banners which read “Thanks for supporting the Milford Marching Band.”

 

Patti and Steve met with Mark Trout, Athletic Director, at the end of the school year.  They explained to Mr. Trout that Milford has one of the few bands in the GMC that does not receive any benefits from the football games.  He wasn’t really open to changing this – like us, they’re seeing funding cuts.  Mr. Trout said he one of the biggest reasons for the athletic dept not supporting the concept is that other schools receive additional funding for the athletic teams that Milford can’t provide.  He mentioned that Athletics is toying with the idea of a carnival to be held in the fall and wondered if we’d like to join them in putting on the carnival as a fundraiser.

 

On a brighter note, Patti reported that Sam’s Club will donate $2000 in August – still waiting for Wal-Mart to come through.  Although she doesn’t know their manager personally, she has a verbal confirmation that they will donate something.  Patti’s asking for $1000.

 

New Business – Sixth Grade Band – Steve to meet with Mr. Frye on July 5 to discuss Sixth Grade Band and funding.  July 11th meeting will be held at the Fireman’s Hall trying to rally the community into supporting the reinstatement of the band.  Also, Steve is trying to get a line-by-line breakdown of where our $250 Band Fee is going – how it is to be spent.  Steve encourages Boosters to write to the Board to tell them how you’re unhappy with the decision to abandon the Sixth Grade Band.  Without it, we’ll be the only school between Milford and Felicity without a Sixth Grade Band.

 

Tag Day – Tentatively scheduled for September 16.  Steve will do more investigation on how many kids are needed and how best to canvass the neighborhoods.  He’ll also try to contact pizza places to help print “tags” with coupons. 

 

Chipotle’ – Ann Shuck reported her employer is interested in providing support to the Band!

 

Suggestion to create a Donation Thermometer to help folks see how we’re doing towards meeting the $16K goal. 

 

Susan Sloan is looking for volunteers to work on a picture committee.  Senior parents are especially needed…
